Ribble Valley Jazz and Blues Policies and Procedures
All organisations commit to policies which are clear, simple statements that explain how your organisation intends to conduct its services, actions or business. They provide a set of guiding principles to help with decision-making.
The following policies and their accompanying procedures help Ribble Valley Jazz and Blues to comply with the law and regulations, ensure everyone connected or enjoying club activities are as safe as possible, set out how things should be done and what is expected of people, create transparency and accountability and limit risk for all.

Health and Safety
Ribble Valley Jazz and Blues manages health and safety by ensuring that we are aware of and have sight of the Health and Safety Policy statements for each venue we use including fire procedures and evacuation, involving volunteers on health and safety issues that affect them, making sure that any equipment belonging to RVJ&B and used by volunteers is safe, ensuring risk assessments are undertaken for all activities of RVJ&B.
Volunteers
RV&JB’s Volunteer Policy has been created to show our volunteers and potential volunteers that we have spent time and care in planning how volunteers will be welcomed at Ribble Valley Jazz and Blues. It also outlines that all volunteers will be treated in a fair and consistent way. It should also help our volunteers understand what support is available to them and what they can expect from us.

Equality, cultural diversity and inclusion
Ribble Valley Jazz & Blues has the mission of creating higher levels of participation in jazz for musicians and audiences. Central to this mission is a commitment to cultural diversity as a means of giving everybody access to great art and culture through jazz.
We are committed to the promotion of equal opportunities within RVJ&B through the way we manage the organisation and provide services to the community. In order to express this commitment, we develop, promote and maintain policies that will be conductive to the principles of fairness and equality in the workplace.

Safeguarding Children and Young People
Ribble Valley Jazz and Blues (RVJ&B) is committed to encouraging the involvement of everyone; we do this by promoting the opportunity for young people and adults to listen to and receive guidance from leading professional musicians and by providing an opportunity for children, young people to participate in workshops and live performances. We take seriously our responsibility to look after the interests of children, young people and we recognise that in order to learn and develop, children and young people need to feel safe and secure and they need to feel valued and listened to.

Safeguarding Adults
Ribble Valley Jazz and Blues is committed to creating and maintaining a safe and positive environment and an open, listening culture where people feel able to share concerns without fear of retribution. The organisation acknowledges that safeguarding is everybody’s responsibility and is committed to prevent abuse and neglect through safeguarding the welfare of all adults involved.

Data protection
RVJ&B works within the provisions affecting data protection law. We collect basic contact details with our members, audiences and subscribers consent in order to promote our events. This basic personal information is kept to a minimum and stored in a password protected computer database or listed on a secure server for use on newsletter emailing or printed for posting. We have safeguards to ensure information is never used for any other purpose other than that given permission for and never passed onto another other organisation and this information is accessible only by our marketing people. RVJ&B will also take reasonable steps ensure that this information is kept up to date by asking data subjects whether there have been any changes. Subscribers to our newsletter have the options of automatically updating their details or being deleted from our lists. Conflict of interest
RVJ&B Trustees have a legal obligation to act in the best interests of the organisation, in accordance with its governing document, and to avoid situations where there may be a potential conflict of interest. Volunteers have similar obligations.
Conflicts of interests may arise where an individual’s personal, financial or family interests and/or loyalties conflict with those of Ribble Valley Jazz and Blues.

Such conflicts can inhibit free discussion, result in decisions or actions that are not in the interests of Ribble Valley Jazz and Blues risk Ribble Valley Jazz and Blues acting improperly. The aim of our Conflict of Interest Policy is to protect both the organisation and individuals involved from acting with any form of impropriety.
